What we collect, why, who we share it with, and your rights.

Effective date: 19 October 2026. Version 1.0.

This policy explains what personal data Calyber collects through calyber.ai and when you contact us, why we use it, who we share it with and the choices you have. It is written in plain language. If anything is unclear, contact us using the details below.

Who we are

Calyber AI Private Limited, a company registered in Uttar Pradesh, India (“Calyber”, “we”, “us”). Registered office: B 17, Lajpat Nagar, Sahibabad, Ghaziabad, Uttar Pradesh 201005, India. Corporate Identity Number: U62011UW2026PTC254581.

For personal data we collect through this website and our sales conversations, Calyber is the controller (under the GDPR) and the data fiduciary (under India’s Digital Personal Data Protection Act, 2023).

What we collect

When you send us an enquiry or book a call

  • Your name and work email address.
  • Your company name, team size and the roles you are interested in.
  • Anything you choose to write in your message.
  • If you book a call: the time you choose and any notes you add.

When you email us or talk to us

  • Your contact details and the content of our conversations, so we can reply and follow up.

When you browse the website

  • If you accept analytics cookies: how you use the site, such as pages viewed, approximate location derived from your IP address, device and browser type, and how you arrived. We use this only to understand and improve the website.
  • Basic technical logs from our hosting provider (for example IP address and request time), kept for security and reliability.

We do not ask for, and ask you not to send us, sensitive information such as health or financial account details through the website.

Why we use it, and our legal basis

  • To reply to your enquiry, schedule a call and discuss our services. You gave us this information for that purpose (India: DPDP Act section 7(a)). Under the GDPR: steps taken at your request before entering into a contract (Article 6(1)(b)) and our legitimate interest in responding to business enquiries (Article 6(1)(f)).
  • To manage our relationship with your company, including proposals, contracts, invoicing and account management. GDPR: performance of a contract or legitimate interests.
  • To send you occasional updates about Calyber, only if you have asked us to, and you can unsubscribe at any time. GDPR and India: your consent.
  • To understand how the website is used, through analytics, only if you accept analytics cookies. GDPR: your consent.
  • To keep our website and systems secure and meet legal obligations, such as security logging, record keeping and responding to lawful requests. GDPR: legal obligation and legitimate interests.

Where we rely on legitimate interests, our interest is running and growing our business by responding to and keeping in touch with business contacts. You can object at any time (see “Your rights”).

If you don’t give us your name and work email, we can’t respond to your enquiry. Everything else is optional.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

Who we share it with

We do not sell your personal data, and we do not share it for cross-context behavioural advertising. We share it only with service providers who help us run Calyber, under contracts that require them to protect it and use it only to provide their service to us:

  • Email, documents and our sales records: Google Workspace (Google LLC, United States and other locations).
  • Call scheduling: Cal.com (United States), when you book a call.
  • Website analytics: Google Analytics (Google LLC), only if you accept analytics cookies.
  • Website hosting: a cloud platform-as-a-service provider (United States).
  • AI and cloud service providers: providers of AI model and cloud computing services (United States and EU) that help us prepare replies and run our business, acting on our instructions.
  • Professional advisers and authorities: lawyers, accountants and auditors where needed, and public authorities where the law requires it.
  • A buyer or successor: if Calyber is involved in a merger, acquisition or sale of assets, under confidentiality.

If you ask, we will tell you the specific companies that have received your personal data.

International transfers

Calyber is based in India and our service providers operate in the United States, the EU and other countries, so your data may be processed outside the country where you live. Where the GDPR applies to a transfer, we rely on an adequacy decision (including the EU-US Data Privacy Framework where the provider is certified) or the European Commission’s Standard Contractual Clauses. You can ask us for a copy of the relevant safeguards.

How long we keep it

  • Enquiries and sales conversations that don’t lead to a contract: up to 24 months after our last contact with you, and at least 12 months where Indian law requires it.
  • Client relationship records: for the length of the relationship and afterwards as long as needed for legal, tax and accounting obligations.
  • Analytics data: 14 months, then deleted automatically.
  • Security logs: at least 12 months.

When we no longer need data, we delete or anonymise it.

Cookies

We use only the cookies needed for the site to work, plus Google Analytics cookies if you accept them. Analytics does not load until you choose “Accept”, and you can change your choice at any time through “Cookie settings” at the bottom of every page.

  • _ga, _ga_* (Google Analytics, third party): distinguish visitors and sessions to produce usage statistics. Duration: up to 2 years. Set only with your consent.
  • calyber_consent (Calyber, first party, local storage): remembers your cookie choice. Duration: 12 months.

When you book a call, the booking calendar is provided by Cal.com, which may use its own cookies to run the booking. See Cal.com’s privacy policy.

Do Not Track: there is no common standard for Do Not Track signals, so we don’t respond to them. We respect your cookie choice instead. Google may collect information about your activity across sites only through analytics cookies, which are off unless you accept them.

Data we process for our clients

When we deliver our service, our AI employees work inside our clients’ tools and may process personal data that belongs to our clients, such as their customers’ or colleagues’ details. For that data, we act on our client’s instructions as a processor, under a data processing agreement with them, and our client’s own privacy notice applies. If your data is in one of our clients’ systems, please contact that company first. We will help them respond.

Your rights

Depending on where you live, you can ask us to:

  • tell you what personal data we hold about you and how we use it, and give you a copy;
  • correct, complete or update it;
  • delete it;
  • restrict or stop certain uses, and receive it in a portable format;
  • withdraw consent at any time, without affecting earlier processing;
  • under India’s DPDP Act, nominate another person to exercise your rights if you die or become incapacitated.

Right to object. You can object at any time to our use of your data based on legitimate interests, and to direct marketing, in which case we will stop.

To make a request, email hello@calyber.ai from the email address you used with us, or tell us that address so we can find your data. We respond within 30 days.

You can also complain to a data protection authority: in India, the Data Protection Board of India; in the EU or UK, the data protection authority where you live or work. We’d appreciate the chance to resolve your concern first.
